Terms of Service & Privacy Policy

These terms govern every school, college and institution that joins the African Academic Network (AANET) and uses the EduNova platform, together with the staff, students and parents who access it. Please read them before completing registration.

About this document. "AANET", "we", "us" and "our" refer to Olamide Tech Solutions, trading as the African Academic Network (AANET), the operator of the EduNova school management platform at aanet.com.ng. "You", "the School" and "Subscriber" refer to the institution registering for and using the service.

Terms of Service

The agreement between AANET and your institution

By registering a school, creating an account, or otherwise accessing or using EduNova, you confirm that you have authority to bind your institution and that you accept these Terms of Service. If you do not agree, do not register or use the service.

1. Definitions

EduNova / the Platform
The web-based school management software and all related portals (admin, teacher, student and parent), APIs and services provided by AANET.
School / Subscriber
The institution that registers for the service and is responsible for its account, its users and the records it stores.
Authorised Users
The administrators, staff, students, parents and guardians whom the School permits to access its portal.
School Data
All content the School and its Authorised Users submit to the Platform, including student records, results, attendance, financial records and uploaded files.
Portal
The School's dedicated EduNova instance, with its own isolated database and its own subdomain (for example yourschool.aanet.com.ng).

2. The Service

AANET provides EduNova as a multi-tenant, software-as-a-service platform. Each School that joins the network is provisioned with its own isolated database and its own portal on an AANET subdomain, separate from every other School on the network.

We may add, change, or remove features over time to improve the Platform. We will not make changes that materially reduce the core functionality of an active paid subscription without reasonable notice.

3. Registration & Account Security

  • You must provide accurate, current and complete information during registration and keep it up to date.
  • Each School designates a Super Admin who is responsible for managing users and access within the Portal.
  • You are responsible for safeguarding all login credentials and the Super Admin secret key. If the secret key is lost, a new one must be regenerated, which permanently invalidates the old one.
  • You are responsible for all activity that occurs under your account and your Authorised Users' accounts.
  • You must notify us promptly at [email protected] of any suspected unauthorised access.

4. Free Trial, Subscription & Fees

  • New schools may be provisioned with a free trial. We will tell you the trial's scope and duration at sign-up.
  • Continued use after any trial requires an active subscription. Fees, billing cycles and any applicable taxes are presented before you subscribe.
  • Payments are processed by third-party payment providers (such as Flutterwave, Interswitch, Remita or Paystack). Your use of those services is subject to their own terms; AANET does not store full card details.
  • Unless required by law or expressly stated, fees are non-refundable. Where a refund is offered, it will be processed through the original payment method.
  • If a subscription is not renewed or a payment fails, the Portal may be suspended after a grace period. Suspended portals are hidden from public listings and access is limited until the account is brought up to date.

5. Acceptable Use

You agree that you and your Authorised Users will not:

  • Use the Platform for any unlawful purpose or to store unlawful content.
  • Attempt to access another School's data, breach tenant isolation, or probe, scan or test the security of the Platform without written permission.
  • Upload malware, or interfere with or disrupt the integrity or performance of the Platform.
  • Reverse-engineer, copy, resell or sublicense the Platform except as permitted by law.
  • Enter records you are not authorised to hold, or use the Platform in breach of applicable data-protection law.

6. School Data & Ownership

As between you and AANET, the School owns its School Data. You grant us a limited licence to host, process and transmit that data solely to provide and support the service, to keep backups, and as otherwise instructed by you.

You are responsible for the accuracy, quality and legality of your School Data and for having a lawful basis to collect and store it — including, where required, the consent of parents or guardians for students who are minors.

On termination, you may request an export of your School Data within the retrieval window described in the Privacy Policy, after which it may be permanently deleted.

7. Intellectual Property

The Platform, its software, design, branding and documentation are owned by AANET / Olamide Tech Solutions and are protected by law. We grant you a non-exclusive, non-transferable right to access and use the Platform during your subscription. No rights are granted except as expressly stated here. Your own name, logo and brand remain yours.

8. Availability & Support

We use commercially reasonable efforts to keep the Platform available and to back up data regularly. From time to time we may carry out maintenance, and we will try to schedule significant maintenance to minimise disruption. The Platform is provided without any guarantee of uninterrupted or error-free operation. Support is available at [email protected].

9. Suspension & Termination

  • You may stop using the service at any time; cancellation takes effect at the end of the current billing period.
  • We may suspend or terminate access for non-payment, breach of these Terms, or where required by law or to protect the network and other Schools.
  • After termination we provide a reasonable window for you to retrieve your School Data, after which it may be deleted in line with our retention practices.

10. Disclaimers & Limitation of Liability

To the maximum extent permitted by law, the Platform is provided "as is" and "as available", without warranties of any kind. We are not liable for indirect, incidental, special or consequential losses, or for loss of profits, goodwill or data, arising from your use of the Platform. Nothing in these Terms excludes liability that cannot be excluded by law. Subject to that, our total aggregate liability in any 12-month period is limited to the fees you paid to us for the service in that period.

11. Indemnity

You agree to indemnify AANET against claims, losses and costs arising from your School Data, your use of the Platform in breach of these Terms, or your breach of applicable law.

12. Changes to these Terms

We may update these Terms from time to time. Where changes are material, we will give reasonable notice through the Platform or by email. Continued use after changes take effect constitutes acceptance.

13. Governing Law & Disputes

These Terms are governed by the laws of the Federal Republic of Nigeria. The parties will first try to resolve any dispute amicably; failing that, the courts of Lagos State, Nigeria shall have jurisdiction.

Privacy Policy

How AANET handles personal data on the EduNova platform

This policy explains what personal information we handle through EduNova, why, and the rights available to the people it concerns. We process personal data in line with the Nigeria Data Protection Act 2023 (NDPA) and the Nigeria Data Protection Regulation (NDPR).

1. Our Role: Controller & Processor

For the personal data of students, staff and parents that a School enters into its Portal, the School is the data controller and AANET is the data processor — we process that data on the School's instructions to deliver the service.

For the data we collect to run our own business — your School's account, billing and the contact details of those who register — AANET is the controller.

2. Information We Collect

  • School & account information: school name, address, contact details, subdomain and subscription records.
  • Authorised user information: names, roles, email addresses, phone numbers and login credentials (passwords are stored hashed, never in plain text).
  • Student records (including minors): names, dates of birth, class and academic records, attendance, results, photographs and similar records the School chooses to store.
  • Parent / guardian information: names and contact details linked to a student.
  • Payment information: handled by our payment partners; we receive confirmation and reference data, not full card numbers.
  • Technical & usage data: log data, device/browser information and audit trails used for security and to operate the service.

3. How We Use Information

  • To provide, maintain and secure the Platform and each School's Portal.
  • To process subscriptions, payments and receipts.
  • To provide support and respond to enquiries.
  • To detect, prevent and investigate security incidents and misuse (including via audit logs).
  • To comply with legal obligations.

Our legal bases under the NDPA include performance of a contract, consent (where applicable), compliance with a legal obligation, and our legitimate interests in operating and securing the service. We do not sell personal data, and we do not use student data for advertising.

4. Children's Data

EduNova stores records about students, many of whom are minors. The School, as controller, is responsible for having the appropriate legal basis and parental or guardian consent where required before entering a child's data. AANET processes children's data only on the School's instructions and applies the same security protections described below. We never use children's data for marketing.

5. How We Share Data

We share personal data only as needed to run the service:

  • Payment providers (e.g. Flutterwave, Interswitch, Remita, Paystack) to process transactions.
  • Infrastructure & hosting providers that host the Platform.
  • Communication providers for transactional email or SMS where enabled.
  • Authorities or regulators where we are legally required to disclose.

We require our processors to protect personal data and to use it only for the purposes we specify. We do not sell or rent personal data to anyone.

6. Data Security

Each School's data is held in its own isolated database, separate from other Schools on the network. We protect data in transit using encryption (HTTPS), restrict access on a need-to-know basis, store passwords using one-way hashing, keep audit logs of sensitive actions, and take regular backups. No system is perfectly secure, but we work to protect personal data using appropriate technical and organisational measures.

7. Data Retention

We retain School Data for as long as the subscription is active and as needed to provide the service. After termination, we keep the data for a reasonable retrieval window so you can export it, after which it may be permanently deleted, unless we are required to keep it longer by law.

8. Your Rights

Subject to the NDPA, individuals have rights over their personal data, including the right to access, correct, delete, restrict or object to processing, and to data portability. Because the School controls student, staff and parent data, requests about that data should be made to the relevant School, which we will assist as processor. For data we control (account and billing), contact us directly using the details below. You also have the right to lodge a complaint with the Nigeria Data Protection Commission (NDPC).

9. Cookies & Similar Technologies

EduNova uses strictly necessary cookies and similar storage to keep you signed in and to keep the service secure. We do not use third-party advertising or cross-site tracking cookies.

10. Data Breach Notification

If a personal data breach occurs that is likely to result in risk to affected individuals, we will notify the relevant School and the NDPC as required by law, and assist the School in meeting its own notification obligations.

11. International Transfers

Where data is processed or stored outside Nigeria by us or our processors, we take steps to ensure it remains protected to a standard consistent with the NDPA.

12. Changes to this Policy

We may update this Privacy Policy from time to time. Material changes will be notified through the Platform or by email, and the "Last updated" date above will change.
